Apostille Appointment Prep: What Should You Have Ready?

If you've never needed an apostille before, the process can feel a little confusing.

You may be wondering:

What document do I need? Does it need to be notarized first? Do I need an original or a copy? What does the receiving country require?

Before scheduling an apostille service, taking a little time to confirm the details can help you avoid bringing the wrong document or discovering that additional certification is needed.

1. Know Where the Document Will Be Used

Start with the country where the document will be used.

The requirements for using a document internationally can vary depending on the destination and the type of document. The Florida Department of State recommends contacting the appropriate consulate or embassy for certain documents to confirm their requirements.

2. Know What Document You're Apostilling

Not every document follows the same process.

Florida's Department of State lists several types of documents that may be submitted for authentication, including:

  • Florida birth and death certificates

  • Florida marriage and divorce certificates

  • Florida court documents

  • Florida school transcripts

  • Florida vehicle titles

  • Certain Florida agency documents

  • Documents notarized by a Florida notary public

  • Florida criminal background checks

  • Certain Florida Department of State certified copies and certificates of status

The type of document matters because the certification requirements can be different.

3. Bring the Required Original or Certified Document

This is one of the most important preparation steps. Florida's Department of State states that an original certified copy or certificate of a public document is required and that a photocopy is not acceptable for authentication. So before your appointment, don't simply print a copy of the document and assume it can be apostilled. Make sure you have the document required for the particular type of authentication.

4. If Your Document Was Notarized, Check the Notarial Certificate

For documents notarized by a Florida notary public, Florida's Department of State requires a full notarial statement and the original notary's signature, stamp and seal. A photocopy is not accepted. This is one reason it is important to make sure the notarization is completed properly before the document is submitted for authentication.

5. Don't Assume Every International Document Gets an Apostille

An apostille is used to authenticate a public document for use in a foreign country that participates in the applicable Hague Convention process. Florida's Department of State explains that countries that are not members of the 1961 Hague Convention are not issued an apostille; instead, they receive a different form of certification. So if you're preparing a document for international use, it's important to know what the receiving country requires before you begin the process.

6. What If the Document Was Issued Somewhere Else?

Florida's Department of State also makes an important distinction based on where the document originated. A federal document should be submitted to the U.S. Department of State. A document issued in another state should generally be submitted to that state's competent authority. A document signed by a notary public in another state should also be submitted to the competent authority for that state. In other words, the fact that you're located in Florida doesn't automatically mean Florida is the authority that can authenticate every document.

A Simple Apostille Preparation Checklist

Before your appointment, have these questions answered:

☐ What document needs authentication?

☐ Which country will receive the document?

☐ Do I have the required original or certified document?

☐ If notarized, does the document have the required notarial statement and original notary seal, stamp and signature?

☐ Is Florida the appropriate authority for this document?

☐ Does the receiving country have any additional requirements?

A few minutes of preparation can help identify potential problems before the document reaches the authentication stage.
